Build a report
A report is a chart you build yourself: what to measure, how to break it down, and how to draw it. Save it, then put it on a dashboard.
To start from a ready-made report instead, add a template to a dashboard. See Start from a template.
Reports that show cost need access to cost figures. Ask your Flowstate admin.
Build a report
- Go to Insights → Analytics & reporting → Reports and select + (Create report).
- Enter a title where it says Enter report title, and optionally a Description.
- Under Chart Type, choose Stacked Area, Line, Pie, Stacked Bar, Grouped Bar, Horizontal Bar, Donut, Heatmap, Table or Whole Number.
- On the Data tab, drag what you want to measure from METRICS into Metrics (Y-Axis).
- Drag how you want to break it down from DIMENSIONS into Dimensions (X-Axis / Group). You can use up to 3.
- Add Custom Dimensions and Filters if you need them.
- On the Scope tab, choose the Time Granularity: Month, Quarter or Year.
- Choose the Data Source: Actual for what the work cost, from reported effort, or Forecast for what people are planned to cost, from allocations.
- Check Chart Preview and Data Preview. The preview covers 12 months from the start of this month.
- Select Create Report.
On the Style tab you can also set Top N, or turn on Show average line under Overlays. A Stacked Bar also has Bar label and Long-tail scale.
The same measure can differ between Actual and Forecast, because they’re worked out differently. See Why the forecast and actuals can differ.
Measure delivery and AI
METRICS and DIMENSIONS are grouped under headings. These groups help with delivery and AI questions:
| Group | Metrics | Dimensions |
|---|---|---|
| Code Delivery | Merged PRs, Cost per PR, Lines Changed | Repository, Delivery Kind, Operator |
| AI | AI Cost, AI Sessions, AI Tokens, AI Requests, AI Frustration, AI Input Quality | AI Provider, AI Model, AI Use Category, AI Business Function, AI Activity Type |
- These come from GitHub and your AI providers, so use them with the Actual data source.
- Delivery Kind splits pull requests into
agent,ai_assisted_humanandhuman. - Driver under Organisation breaks a measure down by the drivers on your projects.
- Cost, AI Cost and Cost per PR only appear if you can see cost figures.
New reports are private to you.
Find a report
Go to Insights → Analytics & reporting → Reports. Each report in the list shows:
- its title and description
- Private or Shared
- On Dashboard, if it’s on a dashboard
- when it was last updated
- a lock, if it shows cost and you don’t have access to cost figures
To narrow the list, filter by:
- Visibility: Private or Shared
- Chart Type
- Owner: My Reports or Shared with Me
- Dashboard: On Dashboard or Not on Dashboard
You can sort by Last Updated, Title or Chart Type.
Open a report
Select a report in the list. Its page shows:
- the chart for the 12 months from the start of this month
- who created it
- when it was last updated
You can’t change the dates on this page.
If you made the report, Edit and Delete are at the top of the page.
If the report shows cost and you don’t have access to cost figures, the page says the report “includes cost data which requires financial permissions” instead of showing the chart.
Change or delete a report
You can change or delete reports you’ve made.
- On the Reports tab, open the report’s menu. You can also use the buttons at the top of the report’s page.
- Select Edit to change it, then Save Changes. Or select Delete and confirm.
Put a report on a dashboard
You can put your own reports on dashboards you’ve made.
- Open the dashboard.
- Open the gear menu (Actions) and select Edit Layout.
- Select Add Report, then My reports.
- Drag the report onto the dashboard.
- Select Stop Editing.
A report sits on one dashboard at a time. Putting it on another dashboard moves it off the first one.
If you don’t have a dashboard yet, create one first. For more on arranging tiles, see Add reports to a dashboard.
To let other people see a report, put it on a dashboard and share the dashboard.
Take a report off a dashboard
- On the Reports tab, open the report’s menu.
- Select Remove from Dashboard.
The report stays in your list, and you can put it on a dashboard again. You can also take a tile off while you edit the dashboard’s layout.
If something’s not right
“Title is required”. Enter a title before you save.
A report shows a lock and “Requires financial permissions”. It shows cost, and you don’t have access to cost figures.
“No reports yet”, but you’ve made reports. Your filters are hiding them. Clear the filters. If you haven’t made any, select Create Your First Report.
A report isn’t on the dashboard. A report appears on a dashboard once you’ve dragged it onto the dashboard. Follow Put a report on a dashboard.
You want the data in a spreadsheet. Reports can’t be exported. Use the forecast export on Forecast.
