Set up Flowstate Helm

Setup takes you through five short steps. It connects the AI services your team uses, links them to your work, and gives everyone a monthly AI spending limit. You can stop at any point. Your progress is saved, so you can come back to the same page later.

Before you start

You need an invitation to set up Flowstate Helm, or access to manage AI providers and budgets. Ask your Flowstate admin.

For each AI service, have an admin of that service to hand. Most services need a key that only their admins can create. Each service’s page under Integrations says exactly what you need.

Start setup

  1. Open the link in your invitation email.
  2. If you’re asked to Continue in your workspace, check it’s the right one, then select Accept and continue. If it isn’t, select Sign in with another account.
  3. On the welcome screen, select Continue.

Connect your AI services

  1. On Connect your AI services, choose a service. Flowstate shows what you need and how to connect it.
  2. Follow the steps for that service and select Connect. When it works, the service shows Account connected.
  3. To connect another account of the same service, select Add account.
  4. Repeat for every service your team uses, then select Continue.

Services marked Suggested for your setup are the ones Flowstate expects you to use.

Add the context behind the work

On Add the context behind the work, connect your project tool and your source control, such as Jira, Linear, Azure DevOps or GitHub. Each one opens in another tab. Come back to this tab when you’re done, then select Continue.

This lets Flowstate Helm match AI use to the projects and code it went on. See Connect your project tool and Connect GitHub.

Create your first wallet

A wallet gives each person a monthly AI spending limit across all their AI services.

  1. On Create your first wallet, keep the Wallet name or type your own.
  2. Under Monthly limit per person, type an amount. Once Flowstate has matched spend to people, it suggests a starting limit based on what people spend now. Select Use this amount to take it.
  3. Select Create wallet and continue.

This wallet applies to everyone in the workspace. It isn’t a shared budget. You can add team and project wallets later. See Set AI budgets with wallets.

Choose your spending alerts

  1. On Choose your spending alerts, tick the alerts you want: At 80% of a wallet limit, At a wallet limit and When usage spikes.
  2. Select Save and open dashboard.

These alerts go to workspace admins. Spike alerts start once there’s seven days of usage history. You can change all of this later. See Set alerts.

Then

If something’s not right

  • “This invitation cannot be used in this workspace.” You’re signed in with a different account. Select Sign in with another account and use the email the invitation was sent to.
  • There’s no suggested limit. Flowstate suggests one once it can match reported spend to people. Type a limit now, or come back after your services have synced.
  • “This workspace already has wallets.” Someone has already created one. Create another, or select Skip for now.
  • A service won’t connect. Check the key came from an admin of that service. See the service’s page under Integrations.
