Track tools, contracts and savings
Flowstate Helm compares what you pay for each AI tool with how much it’s used. Record your contracts so seat costs are right, then use Savings to find seats nobody uses and work that could run on a cheaper model.
See your tools
Go to Tools. Each tool shows your annual commitment, the seats you pay for, the seats in use, and when the contract renews. Overview shows the same as figures and a chart. Select a tool to see its sessions.
Add a contract
Seat costs come from your contracts, so add one for each tool you pay for by the seat.
- Go to Tools → Contracts and select Add contract.
- Choose the tool, then fill in the Monthly price per seat and the Contract term.
- Save the contract.
To change one, select it and choose Edit contract. Until a tool has a contract, pages that need seat prices ask you to connect your contract prices.
Find savings
Go to Savings. Overview shows Potential savings, split into savings Available now and savings At renewal, and Realised savings that match your bills. Its tabs list the opportunities:

Select an opportunity to see the evidence behind it. Select Dismiss for one you won’t act on.
Give or remove a seat
To act on an unused seat, open the person on People and change their tools. See Give or remove a tool.
If something’s not right
- “No evidenced opportunities yet.” Savings appear as more data arrives. Connecting more AI services and conversation data improves coverage.
- Seat costs are missing. Add the tool’s contract.
- A seat counts as unused but the person uses the tool. Check their work email matches in that tool. See Find anyone and move them between teams.
