Ask for and answer AI requests
When someone needs more AI budget or a new tool, they ask in Flowstate Helm. The request goes to their team manager, or to an admin when the team has no manager. Every answer is recorded.
Ask for something
- Go to Requests and select New request.
- Under What do you need?, choose one:
- Limit increase: more budget this month.
- Budget from someone else: move part of another person’s budget to you or your team.
- Account key: a key for personal use or for a service account.
- Tool access: A seat or An API key for an AI tool.
- Under For, choose Me or your team.
- Fill in the amount, the person whose budget it comes from, or the tool, depending on what you chose.
- Under Why, say what it’s for, so whoever answers can decide.
- Select Send request.
Whoever answers gets a to-do in their Inbox. Follow your request under Requests → Mine, or in My AI → My requests.
When budget comes from someone else, they or their manager agree first. Then it goes to whoever answers your requests.
Answer a request
- Go to Requests. Waiting for me lists what needs your answer.
- Read who it’s for, the amount or tool, and the reason.
- Select Approve or Decline. If someone wants part of your budget, select Agree to give to pass it on.
You can’t answer your own requests. If nobody else in your organisation can answer one, add another admin.
For tool access, approving records the answer. The tool’s admin then adds the seat or creates the key in that tool, unless you’ve set the tool to be given automatically (below).
Choose who answers
- Go to Settings → Request settings.
- Under Who approves limit increases and tool access?, choose Team manager or Administrator. If a team has no manager, its requests go to an administrator.
- Tick Allow account key requests to let people ask for keys. Account keys always need an administrator’s approval.
- Under Automatically approve tool access, choose the tools Flowstate gives straight away when the connected service supports it.
- Select Save settings.
If something’s not right
- “Your organisation has no AI budget yet.” Only tool access can be requested until there’s a wallet. See Set AI budgets with wallets.
- “You already have the same request waiting.” Wait for the answer, or ask the person who answers.
- The person you asked has less left this month than you need. They can’t give more than they have left. Ask for less, or ask someone else.
- The request is stuck on “Waiting for … to agree”. The person whose budget it comes from, or their manager, needs to agree first.
