AI service accounts

Your own software that calls AI providers — a support chatbot, a nightly summariser, an autonomous agent — isn’t a person, so it gets its own identity: an AI service account. Create one for each production service whose AI use and spend you want to see.

You need access to integration settings — ask your Flowstate admin.

Create an AI service account

  1. Open Settings → AI → AI Service Accounts and select New AI service account.
  2. Enter a Name. Agree it with your engineer: it must match the service name their service reports, exactly.
  3. Enter the Environment, such as production.
  4. Add a Description and an Intended scope — a paragraph on what the service is for.
  5. Leave Abuse detection on, unless you don’t want prompts checked against the intended scope.
  6. Select Save AI service account.
  7. Copy the API key, and give it to your engineer to store as a secret.
  8. Select SDK / MDM integration and send your engineer the setup snippet.

Check an account is reporting

  1. Open Settings → AI → AI Service Accounts.
  2. Find the account:
    • Type part of its name or environment in Search by name or environment…, or
    • Choose an order in Sort by: Name, Created, Last seen, Spend (30d) or Open signals. Select the arrow beside it to reverse the order. Sorting by Last seen shows which services have gone quiet.
  3. Read the account’s row:
    • Last seen shows Never until the service sends its first AI call, then the date of its latest one.
    • Spend (30d) is what the service’s AI calls cost over the last 30 days.
    • Open signals shows a red badge with the number of things about the service that need review. Hover over it to see Top open signal categories. A dash means there are none.
  4. Select the account’s name to open its panel. It shows Trailing 30-day spend (USD) and Recent signals. Selecting the red badge opens the panel at Recent signals.

Once the service is reporting, its AI use also appears on Insights → Agent insights.

The list shows 20 accounts at a time. Use Previous and Next to see the rest.

Edit or delete an account

  1. On the account’s row, select the pencil to edit it, or the bin to delete it.
  2. Make your changes and select Save AI service account — or confirm with Delete AI service account.

Deleting an account stops the service reporting to Flowstate. Its history is kept.

If something’s not right

Last seen stays Never — Check the key is set in the service, and that the service reports the same name as the account’s Name.

An account isn’t in the list — Clear Search by name or environment…, then check the next page with Next. Deleted accounts aren’t listed.

Recent signals says “No signals recorded yet.” — Nothing about the service needs review.

For your IT team

The engineer who runs the service adds the Flowstate SDK to it, using the key and the snippet from SDK / MDM integration. The snippet already has the account’s name and environment filled in.
