AI caps

Finance → Budgets → AI caps shows this month’s AI spend against a monthly cap for your whole organisation. Use it to give AI spend a ceiling everyone can see, and to spot early if the month is heading over it.

The cap covers every provider together — Anthropic, OpenAI, Cursor and the rest.

You need AI governance admin access — ask your Flowstate admin.

Set the organisation cap

The organisation cap is set as a rule.

  1. Open Resourcing → Agents & copilots → Rules and select Add rule.
  2. Select Start from scratch.
  3. Under When, choose Month-to-date spend would exceed a cap.
  4. Under Who it applies to, choose Anyone.
  5. Under Cap scope, choose Across all providers, enter the Cap (USD), and set Period (months) to 1.
  6. Select Add rule.
  7. In the banner, select Activate, write a Change summary, and select Activate.

Read the page

  1. Open Finance → Budgets → AI caps.
  2. Read the sentence at the top. It says how much of this month’s cap has been used.
  3. Look at Organisation cap for the cap, this month’s spend and a coloured bar: green within the cap, amber close to it, red over it.

From the third day of the month, a line under the bar says where spend will finish if it carries on at the same rate.

Troubleshooting

“No organisation-wide AI spend cap is set yet.” — Set one as described above.

The AI caps tab shows a lock — Agents & copilots isn’t switched on for your organisation. Ask your Flowstate contact.

This month’s spend looks low — Check every AI tool you pay for is connected. See AI usage providers.
