Make a decision a workflow asks for
Some work needs a person to decide before it goes on, such as approving a report or a deal. The workflow pauses, asks the right person and carries on once they’ve answered.
When you’re asked
You’re told in three places:
- Inbox: a to-do that says the workflow needs your decision, and by when.
- Email: “Decision needed”, with a Decide in Inbox button.
- Slack: if your organisation uses it, a message that says what the workflow is waiting for.
Decide
- Select Decide in Inbox in the email, or open the to-do in your Inbox.
- Read what the workflow prepared, and the evidence behind it.
- Approve, decline or answer, and add a reason if you’re asked for one.
You’ll see “Your decision is recorded. The flow carries on from here.”
Who can decide
The workflow names the roles that are asked. To decide, you also need the right to decide on that step, which your Flowstate admin gives. If you don’t have it, you’ll see that the step needs the Decide grant.
If several people are asked, the first answer counts. Anyone who opens it afterwards sees “Someone has already answered this decision. Their answer stands.”
If you don’t answer in time
Each decision has a date it’s needed by. After that, the workflow follows what it was built to do, such as reminding you, asking someone else or stopping. A run waiting on you shows as Needs a person. See Follow a run and fix one that stopped.
