Review cost-centre recommendations
A project on the wrong cost centre is capitalised wrongly, and a project with none isn’t capitalised at all. The project analysis scan reads your projects on a schedule and recommends a cost centre where one looks missing or wrong.
You need access to financial settings — ask your Flowstate admin.
Turn on the scan
- Go to Settings → Finance → Project Analysis.
- Under Project analysis agent, turn on Enable automated scanning.
- Choose the Scan frequency: Weekly, Fortnightly or Monthly.
- Under Automation policy, set Cost centre to one of the options below.
- Select Save configuration. To scan straight away, select Run scan now.
Choose one:
| Policy | What happens | Best for |
|---|---|---|
| Off | No cost-centre recommendations | Not using the scan |
| Suggest | Every recommendation waits for someone to accept or reject it | Getting started — nothing changes without a person |
| Auto-apply | Flowstate sets the cost centre itself when it’s confident enough (you set the Confidence threshold), and suggests otherwise | Saving time once you trust it — but capitalised figures can change without review |
What it finds
| Finding | Meaning |
|---|---|
| Missing cost centre | The project has no cost centre, so its cost is Uncategorised |
| Misclassified cost centre | The project looks like capitalisable work but isn’t on a CapEx cost centre |
| Cost centre over-claimed | The project is on a CapEx cost centre but doesn’t look capitalisable |
| Missing post-completion cost centre | The project has ended and has nowhere for later cost to go |
| Post-completion cost centre over-claimed | The post-completion cost centre looks wrong for work after the project ended |
Act on a recommendation
You get to the Recommendations page from an Inbox notification, or from a Slack message with View Recommendations.
- Select a recommendation to see its Explanation, Evidence Tickets, Confidence and what Accepting will do.
- Choose:
- Accept to set the recommended cost centre on the project.
- Reject to dismiss it. It won’t be raised again.
- Later to leave it in the list, marked Deferred.
To accept everything on the page, select Accept All.
Projects the scan couldn’t classify
Sometimes the scan can’t pick a cost centre with confidence — for example, the project has no linked tasks, has no tracked or forecast spend, or its work is split between building and upkeep. You then get an Inbox task, ”… projects need a cost centre”, with an email, and a Slack message if your organisation has turned that on.
- Open the task. Recommendations opens, showing only these projects, each marked Cost centre needs review.
- Select one to read its Explanation.
- Set the project’s cost centre yourself on Finance → Capitalisation → Projects.
- Back on Recommendations, select Reject to clear it, or Later to keep it in the list.
There’s no cost centre to accept on these. The task’s count updates the next time the scan runs.
If something’s not right
“This finding does not include a cost centre recommendation…” The scan couldn’t pick one. Set the cost centre on Finance → Capitalisation → Projects.
There are no recommendations. The scan is off, hasn’t run yet, or found nothing. That doesn’t mean every cost centre is right — check Needs your attention on Capitalisation.
