Review the activity log
Use the activity log to answer “who changed this, and when?” during a review or an audit, or when a number moves unexpectedly.
You need access to the activity log. Ask your Flowstate admin.
Find a change
- Go to Settings → Organisation → Activity Log.
- Set Date range to Last 7 days, Last 30 days or Last 90 days.
- Narrow the list with Entity type, Action or Source.
- Read across the row to see who made the change and what it was.
What each row shows

Where a change came from
| Source | Meaning |
|---|---|
| Manual | Someone changed it in Flowstate |
| Sync | A connected tool, such as your project tool, changed it |
| Import | A data import changed it |
| API | A system using an API key changed it |
| Set automatically (AI) | Flowstate’s AI applied it without a person |
| AI suggestion accepted | Someone accepted a suggestion from Flowstate’s AI |
What the log covers
- Records: employees, contractors, vacancies, teams, projects, initiatives, skills, driver types, AI agents and their assignments, salary adjustments, bonuses, contractor rate adjustments, team and project allocations, effort submissions and synced project-tool projects.
- Actions: Created, Updated, Deleted, Archived, Synced, Submitted, Approved, Changes requested, Withdrawn, Approval reverted and Linked to project.
If something’s not right
A change you expected isn’t listed. Widen Date range to Last 90 days, then check the record is one of the types above.
The actor is System. A sync, an import or an automatic process made the change. Filter by Source to see which.
